Service Description
PLEASE NOTE OUR SUNDAY MARKET IS BACK OPERATING FROM 10AM-4PM EVERY SUNDAY! It will most likely be busy! Hireable spaces- Indoor capacity- We DO NOT hire whole building, just Garden Room. The maximum capacity of the Garden room is 35 people standing, 30 in seated cinema style rows, or 25 comfortable for sit down eating. Garden Room seats approximately 20-25 around a large banquet style table layout. Maximum capacity is 30 if standing, or seated in a cinema style layout. Small outdoor space immediately outside Garden Room – corner of the Garden room opens to allow step out access to barked outdoor area to the left. We can place 1-2 folding tables in this barked area if required. Please note cafe customers use the area to the right. Outdoor space (away from building) - Area of the Croft – usually on the hardstanding and out-with the barked cafe seating area. Provision of hot drinks We can provide Tea/Coffee from our café Our main suppliers are: Pekoe Tea, Williams and Johnson coffee, Brose Oat milk, Mossgiel Dairy milk. Pre-order any coffees before your event to be served at any particular time. Self-catered hot drinks We provide the hot water and urns you provide everything else. Or, we can provide both the hot water kettles and instant tea/coffee, milks, and sugar. Self-Catering Bringing your own food, fizz etc. Alcohol may be brought in We may be able to supply catering equipment dependent on the size of your party/timing of your event. Please let us know if you require plates/cups/cutlery, and how many of each type. Waste disposal/recycling We are an aspiring zero-waste organisation and can dispose of certain items via ChangeWaste. We can offer disposal per bag at a set costs below: Recycling options offered - all £2.20 per bag Cans (washed and squashed) Cardboard Tetra packs Plastic water bottles/juice bottles Glass (rinsed) General waste Vegetarian food waste tub £1 Bringing your own plates/cups etc We strive towards be a zero waste/closed loop charity as we hold environmental aims at our core. We prefer that you use reusable crockery or our catering tablewares when choosing a self-catered event. *If you choose to use disposable plates/cups then PLEASE choose fully compostable paper versions, so these can be turned into nourishing compost, not tiny pieces of plastic that last forever. Or take them away with you if you prefer. Decor: reusable, biodegradable wherever possible. NOTHING attached to walls, but can use windows.
Cancellation Policy
Upon booking, you will pay a deposit to secure your date. If you need to change dates, we can do upon email request at venue@earth-in-common.org. Also email here for any larger 'special' events e.g. wedding, or gigs. We will send a reminder three weeks prior to your event to request the full payment. The full payment must be made by two weeks prior or we will cancel the event, and no refunds will be issued. In the case of cancelations – We ask that if cancelling between two weeks to a week prior to your booking date, a 25% cancelation fee will apply. If cancelling one week or less prior to your booking date a 60% cancellation fee will apply. All cancellation requests must be submitted in writing via email. Cancellation fees are calculated based on the total value of the booking and are necessary to cover costs incurred in preparing for your event and the available timing left to offer the date toothers at such short notice. In the event of exceptional circumstances, cancellation requests may be reviewed on a case-by-case basis at the discretion of the event organizer.
